The problem
Small businesses want the productivity of AI but cannot risk an assistant that emails the wrong customer, approves the wrong invoice or invents a price. Most do not have anyone to review an AI system’s design before trusting it with their records.
What we built
Android appA Kotlin and Jetpack Compose app with workspaces, team roles, voice input, customer and lead records, invoices and file uploads.
Back endA FastAPI service with an AI gateway to Claude, an agent that proposes actions, CRM and file storage, usage quotas and Google Play subscription checks. 26 automated tests cover the back end.
ApprovalsAnything that changes records or contacts people, such as sending an email or approving an invoice, becomes a proposal that a person in the workspace must approve.
MonetisationGoogle Play Billing for the subscription, and AdMob banner ads during the free trial with Google’s consent tool for UK and EEA users.
How governance is built in
- Human approval for consequential actions, enforced in the back end, not just the user interface.
- Numbers come from records, not the model. Prices, stock levels, totals and tax are calculated from the business’s own data.
- Data minimisation. Only the records needed for each request are sent to the AI provider, and business data is never shared with advertisers.
- Transparent privacy. A dedicated privacy policy and a clear account deletion process, as Google Play requires.
What it shows for clients
An AI assistant can be genuinely useful to a small business when it proposes and a person decides. We design the same approval patterns into client AI assistants.
